SAVMA Travel Grant

Welcome!

We are excited to introduce the SAVMA Travel Grant (STG) Award!  With support provided from the ISU CVM Practice Partner’s Program. The purpose of the STG Award is to provide funds for student expenses related to professional meetings, conference travel, and fourth year externships.

 

Amount of Support

The amount of the STG award shall be $150 per semester, or $300 per year.

Application

  1. Application forms and instructions are the responsibility of the STG chair and are posted on this website.
  2. Documentation of registration for conferences or attendance of a preceptorship is required at the time of application. Please check the Application Requirements for details.
  3. Incomplete, late, or duplicate applications will not be considered for funding.
  4. Generally, the deadline for an application is 5:00 pm on the 15th of the month prior to the month of the conference. If the deadline falls within winter or summer break, or confirmation of the event is received later than the deadline, applications can be submitted no later than one week prior to the event.
  5. It is in an individual’s best interest to apply as soon as possible and at any time prior to the deadline. These grants will be available on a “first come first serve” basis.

Student Eligibility

  1. In order to receive an STG award, the applicant must be a veterinary student at Iowa State University College of Veterinary Medicine who is a SAVMA member in good standing.
    1. The applicant must be registered for the Fall Semester to receive funding for a trip which occurs in August through December.
    2. The applicant must be registered for the Spring Semester to receive funding for a trip which occurs in January through July.
    3. The applicant must not graduate prior to travel occurring.
  2. Students may apply more than once, but the applications must be for different conferences.
    1. For example, if a student is denied an STG award for a conference or externship, they remain eligible to apply for a different conference or externship that same year.

Travel Reimbursements

  1. Students who are approved to receive a STG award will submit their travel receipts to ISU Finance Delivery (finance_delivery@iastate.edu) in order to be reimbursed for the value of $150 for semester awards, or $300 for yearly awards.
  2. Travel is not eligible until proper confirmation documentation is available to provide.
    1. Students must have a registration confirmation (email or letter) to be considered for an STG award.
    2. VM4 students must provide confirmation of their attendance at a preceptorship/externship.
  3. Documentation of registration is required for reimbursement. Students must use this STG Reimbursement Form when turning in their receipts.
  4. Dispersal of funds will conform to ISU policies.
  5. Reimbursements must be completed within 1 month from the last date of travel.
  6. Acceptable travel receipts are limited to:
    1. Registration fees
    2. Wetlab fees
    3. Hotel fees
    4. Airline fees
    5. Gas Reimbursement 

Awarding STG Awards

  1. STG awards are given out on a first-come, first serve basis. 
  2. $15,000 are allotted each academic year for the STG. Funds are evenly distributed per semester, and grants will be awarded up until the maximum funds has been reached. Funds not dispersed in the fall semester will roll over and become available in the spring semester.

Application Status

  1. Students may check the status of their application on the Submitted Applications page.
  2. The approval of the application will be reviewed by the STG Chair after the 15th of each month.
  3. Students will receive an automated email notifying them of the status of their application once it is approved or denied.
  4. Students may email the STG Chair at <stgchair@iastate.edu> with questions or concerns regarding their application status.

Travel Cancellation

  1. If the student is funded to attend a conference and does not attend, the student must notify the STG chair in writing (email <stgchair@iastate.edu> is preferred) to cancel their STG for that conference no later than 2 weeks after the conference.
  2. Students who do not follow the procedure to cancel will not qualify for an additional STG within the same year.
